Financial Aid Policies & Changes/Revisions
Âé¶ąĘÓƵ provides financial aid based on established policies, but we understand that circumstances can change. This page explains our policies and the ways you can request adjustments or updates to your financial aid.
łŰłŐ°ä’s Academic Renewal Policy gives students a fresh start if they struggled in the past.
How it works:
- You must be away from YVC for at least one year.
- After you return, you need to complete two full quarters (at least 12 credits each) with a 2.0 GPA or higher.
- You may then petition the Registrar to apply Academic Renewal.
If approved:
- All grades from the chosen quarter and earlier quarters are changed to “No Credit” (NC).
- Those courses will stay on your transcript, but they no longer affect your GPA.
- Courses changed to NC will not count toward your program requirements.
Important notes:
- You can use this policy only once.
- You must be enrolled when the policy is applied.
- If you change your mind later, you can petition the Registrar to rescind Academic Renewal.
We award financial aid on a first-come, first-served basis—so apply early!
Priority Application Dates
- Submit your FAFSA or WASFA between October 1 and March 1 for the best chance at full funding for the following school year.
- Only students with a completed financial aid file are considered for grant funding.
- The Awards process usually begins in summer, after we review applications. Funding continues through the year, but late applicants only get what’s left.
How Aid Is Awarded
- Federal Pell Grant – awarded first to all eligible students.
- Washington College Grant (WCG) – awarded next, for Washington residents with remaining need.
- Supplemental Grant – priority given to out-of-state students.
- YVC Grants & Tuition Waivers – for Washington residents, if eligible.
- College Bound Scholarship – awarded to all who qualify, no matter when they applied.
- Work Study & Direct Loans – considered after grant eligibility is determined.
Loans & Work Study
- To borrow, submit a Direct Loan Request Form once your grants are set. Allow up to one month for processing.
- To work, you must complete the student employment orientation canvas course (and pass the quiz). For more information, visit our Work Study page.
Summer Aid
- Summer is the final quarter of łŰłŐ°ä’s aid year.
- Funding depends on your remaining Pell Grant or Direct Loan eligibility for the year.
- Extra grant funding, if available, is prioritized for:
- Students finishing their program in the summer, then
- Students required by their program to attend in the summer.
Important Reminders
- Aid can sometimes be offered after a quarter has already started.
- Accept aid for that quarter only if you are in good standing and prepared to finish successfully.
- If you accept aid but don’t complete the quarter:
- You may lose eligibility under Satisfactory Academic Progress (SAP) rules.
You could run out of funds needed to finish your program.
YVC locks your enrollment for financial aid purposes on the 10th day of the quarter. This is called the census date.
- Before the 10th day
- Adding or dropping classes may change your aid eligibility.
- If you add eligible courses, your aid may increase. Extra funds first pay your charges, and any balance is refunded through BankMobile Disbursements.
- If you drop courses, you may have to repay part of your aid (called an overpayment).
- After the 10th day
- Aid will not change if you add or drop classes.
- The only exceptions are if YVC adjusts the census date due to emergencies (such as severe weather closures) or if you completely withdraw from all classes.
- Special Circumstances
If you could not finish your enrollment changes before the census date, the Financial Aid Office may review your situation. If your instructors confirm you attended during the first week, an enrollment adjustment may be made on a case-by-case basis.
Programs affected by the census date include:
- Federal Pell Grant
- Federal Supplemental Educational Opportunity Grant (FSEOG)
- Washington College Grant
- College Bound Scholarship
- Other state or institutional aid
Why This Matters
Âé¶ąĘÓƵ (YVC) is committed to ensuring our financial aid process is fair, transparent, and free from conflicts of interest. Our staff follow the National Association of Student Financial Aid Administrators (NASFAA) Statement of Ethical Principles and the federal requirements of the Higher Education Opportunity Act (HEOA).
NASFAA Ethical Principles
Financial aid professionals at YVC pledge to:
- Put students first and work to remove financial barriers to education.
- Provide clear, accurate, and timely information to students and families.
- Treat all students with dignity and respect, protecting privacy and confidentiality.
- Apply financial aid rules and formulas consistently and fairly.
- Advocate for students’ interests at the campus, state, and federal level.
- Avoid conflicts of interest and maintain the highest level of professionalism.
YVC Code of Conduct (Required by HEOA)
All YVC employees involved with financial aid must follow these rules:
Conflicts of Interest
- YVC does not enter into any revenue-sharing agreements with lenders.
- Staff (or their family members) may not solicit or accept gifts from lenders, guarantors, or servicers.
- Staff may not accept fees, payments, or other financial benefits from lenders in exchange for consulting or services.
Loan Certification & Choice
- YVC will not assign a borrower’s loan to a specific lender.
- YVC will not delay or refuse loan certification based on a student’s choice of lender.
Prohibited Arrangements
- YVC will not accept funds from lenders in exchange for loan volume, preferred lender status, or “opportunity pool” loans.
- YVC will not request or accept staffing support from lenders (such as call center help).
Advisory Boards
- Staff serving on lender or guarantor advisory boards may only receive reimbursement for reasonable expenses.
- All such reimbursements must be reported annually to the U.S. Department of Education.
Commitment to Integrity
YVC holds financial aid staff to the highest ethical standards. When state, federal, or college policies differ, the stricter standard applies. Violations of this code may result in disciplinary action, up to and including termination.
Âé¶ąĘÓƵ (YVC) follows the Family Educational Rights and Privacy Act of 1974 (FERPA), 34 CFR Part 99, which protects the privacy of student education records.
Directory Information (May Be Shared Without Written Consent)
YVC has designated the following as “directory information”:
- Name
- Photographs
- Major field of study
- Eligibility for and participation in officially recognized activities, organizations, and sports
- Weight and height of athletic team members
- Dates of attendance (quarters enrolled)
- Enrollment status (number of credits per quarter)
- Degrees and awards received
- Most recent previous school attended
Unless you tell us otherwise, YVC may release this information without your written consent.
Choosing Confidential Status
You may request that your information be kept confidential. To do so, submit a written request to the Registration and Records Office. Once confidentiality is in place, it will remain until you submit a signed authorization to remove it.
Important to know: Choosing confidential status has effects. For example:
- Friends or family will not be able to reach you through the college.
- YVC will not confirm that you are a student here, even to loan companies, employers, or relatives.
- Any outside request for your information will be told “no record found.”
Releasing Other Student Records
All other academic records are confidential and will only be released:
- With your written consent, submitted in person at the Registration and Records Office with photo ID.
Or under certain legal exceptions allowed by FERPA.
To stay on track for your degree or certificate, YVC requires all new degree-seeking students to meet with their advisor or an advisor in our .
- Before 30 college-level credits: You must meet with your academic advisor before registering for the next quarter.
- After 30 college-level credits: If you have not yet declared a program or major, you must meet with your advisor to:
- Review a degree audit, and
- Officially declare your program or major.
After your tuition and fees are paid, any remaining financial aid is refunded to you.
YVC uses BankMobile Disbursements, powered by BMTX, Inc. to deliver these refunds.

Financial aid at YVC follows federal and state rules.
- Your need is calculated by comparing:
- Your available resources (parent contribution, earnings, savings, other income)
- With łŰłŐ°ä’s standard cost of attendance (tuition, books, living expenses)
If your costs are greater than your resources, you may qualify for aid.
- Your award package may include:
- Grants (offered first, if you qualify)
- Student employment (work-study)
- Student loans
- Work-study: Students interested in work-study must attend an orientation before being placed in a job.
- Loans: Loan requests can be submitted after you register for classes and your eligibility for grants has been reviewed.
Funding is limited. Most students do not have all of their financial need met because federal and state funds are not enough to cover everyone fully.
When Refunds Are Made
- Refunds are only for official withdrawals.
- No refund is given for amounts under $10.
- If an instructor withdraws a student after the first week, no refund is issued.
Withdrawal Fees
- Part-time (≤11 credits): $5 fee
- Full-time (≥12 credits): $10 fee

- Refunds for non-standard term lengths or lab fees are proportional.
How Refunds Are Paid
- Remaining funds after tuition/fees are applied are processed within 4–6 weeks.
- Payment goes back to the original payment method:
- Debit/credit → credited back
- Cash/check/online → mailed check
Financial Aid Considerations
- If you received federal or state aid, refunds are returned according to program rules.
For questions, contact the Financial Aid Office.
To receive financial aid at YVC, students must make satisfactory progress toward their academic goals. This means:
- Enrolling in the right program and courses
- Staying in good standing
- Accepting financial aid only if you can successfully complete your classes
SAP is monitored quarterly after grades are posted and includes three measurements:
- Grade Point Average (GPA)
- Must maintain 2.0 or higher.
- Must maintain 2.0 or higher.
- Pace of Progression
- Must successfully complete at least 67% of all attempted credits.
- Pace = Credits Completed Ă· Credits Attempted
- Transferred credits count toward both attempted and earned credits.
- Maximum Time Frame
- Must complete your program within 150% of the standard length (e.g., a 90-credit program must be finished within 135 attempted credits).
- If you exceed this limit, you lose financial aid eligibility.
- A new time frame starts if you graduate and enter a new eligible program.
Lost Eligibility & Appeals
If you lose financial aid eligibility, you have two options:
- Pay Out-of-Pocket
- You may continue attending YVC by paying tuition and fees yourself until you meet the Satisfactory Academic Progress (SAP) requirements again.
- Once your academic record is back in compliance, you become eligible for financial
aid again.
- Appeal for Reinstatement
- If there were unusual circumstances that affected your academic progress (such as illness, family emergency, or other mitigating factors), you may submit an appeal.
- Appeals are reviewed on a case-by-case basis, and you must explain the circumstances and any remedies that will help you succeed.

The Family Educational Rights and Privacy Act (FERPA) gives you certain rights regarding your education records. These include:
- Inspect and review your records. You can see your education records maintained by the college.
- Request corrections. If you believe a record is inaccurate, you can ask for it to be amended.
- Control disclosure of your information. You must consent before the college shares personally identifiable information, except when FERPA allows disclosure without consent.
- File a complaint. You can report alleged violations to the U.S. Department of Education.

Students sometimes experience significant changes in circumstances after the base year reported on the FAFSA. YVC offers several types of :
- Changes in household or income
If your income drops due to job loss, divorce, incapacitation, death in the family, or other major changes, you may request a review starting in mid-October (after fall aid has been disbursed) using the Income Revision Request.
- Additional expenses
If you have extra costs such as child care, medical or disability expenses, unusually high book or equipment costs, or commuting expenses, these may be accommodated through loans. Submit the Budget Revision Request Form along with your Federal Direct Loan Request Form after receiving your initial award notice. - Changes in enrollment level
Financial aid is typically awarded assuming full-time enrollment (12+ credits per term). If you enroll part-time or change your enrollment level, submit the Financial Aid Enrollment Revision. Only one adjustment is made per quarter, and it will update your award, cost of attendance, and satisfactory progress requirements to match your actual enrollment. Notifying us early can get your aid released sooner.
IMPORTANT NOTES:
- Aid awarded for full-time study will not cover tuition unless you are enrolled in 12 or more college-level credits.
- Being on a waitlist does not count as enrolled.
- Check tuition due dates after registering. If you’re not enrolled in enough credits, your registration may be canceled because your aid did not apply to tuition.
- If you are on a waitlist and not yet registered for enough credits, ask the Registration or Financial Aid Office to place a “h´Ç±ô»ĺ” on your tuition due date to avoid cancellation.
